The Hidden Costs of a Destination Wedding (No One Talks About..but we will!)

Updated: Jun 22

Planning your dream destination wedding feels like a fairy tale. A sunset ceremony on the beach. A vineyard dinner under the stars. Saying “I do” surrounded by your favorite people in a breathtaking setting.

But here’s the truth most planners skip: Destination weddings can come with some pretty sneaky expenses that you don’t see coming... And those unexpected costs? They can add up fast.

Let’s break it down so you’re not surprised, and you can plan with confidence and ease.

1. Travel + Hotel Costs Aren’t Just Yours

Of course you’re budgeting for your flights and stay. But remember: if you’re inviting guests, your decisions affect their budgets too.

    •    Flights during peak seasons (like holidays or spring break) can surge up to 40% more.

    •    Booking a group room block is necessary but remember to avoid "Black out Dates" to recieve your concessions and discounted rates.

    •    Make sure you are aware that if your guest decides to stay off property they / or you are going to be charged "off site guest" fee. Tnis can also apply to vendors if you aren't using someone off the resorts preffered list. make sure you read all the fine print in your contract!

Pro Tip: Always offer guests a variety of hotel price points by offering different room catagories within your room block, and of course give your guest the option to upgrade their guest experiece!

2. Hidden Resort + Venue Fees

All-inclusive doesn’t always mean all costs are covered. Many resorts and venues tack on fees you won’t see until later.

    •    Off-site vendor fees can range from $200 to $2,500 (woah, i know that sounds crazy) if you bring your own videographer, photographer, rentals or florist... And most don't allow off site AV or DJ services. So make sure you speak with your wedding planner about any off site vendors you've been eyeing before booking!

    •    Hosting non-hotel guests at your event? Expect off-site guest fees—even if they’re just coming for the wedding day or welcome party.

    •    Ceremony on the beach? Some destinations charge for a permit or setup, especially if it’s a public location, this will depend on where you choose to say "I Do". Also make sure to always have a little nest egg for a weather contingentcy plan, ALWAYS plan for a weather back up!

Pro Tip: Always ask about “external vendor” and “outside guest” policies before signing a contract, and make sure they are listed in your contract clearly!

Planning a wedding abroad? Exchange rates and import taxes might eat into your budget.

    •    Currency conversion fees can reduce your spending power by 3–5% depending on where you choose to have your wedding..

   •    Duties or tariffs on imported items (like wedding gowns or decor) can hit your credit card without warning, be aware of importing items, this can even be something customs taxes you wwith upon arrival (for example, hand fans for 200 guest that you are trying to pack yourself, lol)

3. Dress + Beauty Logistics

A dramatic ball gown may not travel well—or fit the vibe of a breezy beach wedding.

    •    Some brides end up buying a second gown for the destination setting, factor this into the budget and the timeline!!

    •    Alterations can be pricey, make sure to account for your fittings, you will usually need at least 2-3 to have it just right for your big day!

    •    Not thrilled with the "Preferred" hair and makeup artists at resorts? Expect to pay and off site vendor fee to bring your favorite artist on site. We always reccomed using an outside vendor for this or bringing your favorite with you for the weekend, Glam is 75% of the whole look. It's important.

Pro Tip: Ff you bring your artist with you and they are staying onsite within your room block for the 3 night minimum, the off site vendor fee is waived. This is true for ALL off site vendors!

4. Vendor Travel + Communication Costs

Your dream photographer or beauty expert might need to fly in—and you’ll need to cover that.

    •    Don’t forget: setup, teardown, meals, lodging, and transport for your vendors fall on your tab.

Pro Tip: Work with a destination planner (like us!) who has connections around the world and already has trusted relationships with vendors in your destination of choice!

5. Emergency + Weather Contingency Budget

No one wants to think about it—but things happen.

    •    Rain plans... or a hurricane!

    •    Flight delays.

    •    Lost luggage (like… your bridemaids dress).

    •    Extra hotel nights or backup rentals.

Plan to keep at least 10% of your budget tucked away for the unexpected expences... and if its not needed you have a little honeymoon fund set aside!!
